FIRST BY EXITIA

First is an easy-to-use spend analysis tool for companies and organizations that want to gain control over their costs.

Get started with easy installation

The tool is based on the supplier ledger and is therefore suitable for all companies and organisations. Included with the tool is a spending tree that you can easily modify to suit your needs. You then drag your spend into the right place in the spend tree with drag’n drop functionality.

First is a cloud service based in Europe, which makes it both safe and easy to install. It requires no integration and thus no large IT implementation project. You automatically receive updates to you with clear instructions between releases what has changed. First has a dynamic interface that adapts to different types of screens. You can therefore use a computer, tablet or phone to view your data wherever you are. First is also responsive, i.e. utilizes all the functionality that pressure-sensitive screens have. You can enlarge, save and change with a tap on the screen.

First is very easy to get started with and thus requires no training. The tool also contains a user manual if needed. We will, of course, still support with a start-up of the tool so you can get started in the actual use.

See results immediately!

First will show you directly from which suppliers you buy and how much. In the simple visual interface, you can choose different time periods to analyze. Choose between different time periods and compare against each other! The analyzes can be done based on selected supplier/s or transaction/invoice perspective. The tool is suitable for those who want to quickly get started with spend analysis in a private or public business, large or small purchasing organization or those who have several different account plans.

Deep analyses

First will show you which accounts/suppliers are not assigned to a category. Use the drag’n drop function to insert into your category tree. Now you can analyze from a category perspective what your purchases look like and can start with category management! First shows you who has bought what and provides the ability to create an own organization chart in the tool to allow sustainable analysis in the tool. This enables aggregated compliance and spending behavior analysis upwards in the organization and you can see which departments/functions have large and small spend in different categories.

First shows you the supplier markets by automatically reading the SNI codes from the Swedish Companies Registration Office. This allows you to see which suppliers you already use and what type of goods you buy from a specific supplier. You can still do this based on different time periods or selected suppliers. In this new view, you can see who buys the most from a certain supplier in a certain category.

Why not export to Excel the data you have in front of you on the screen? The possibilities become even greater with that option.

Unlimited number of users

Our spend analysis tool has three different permissions: Administrator, User and Viewer. A User can change agreements, categorization and organization. An Administrator can do everything as a User but also add users. According to the T model, a Viewer sees only his own department and only “next to”. Roles and administration of tools are easily handled via an interface as an administrator. Number of users is unlimited!

Add contract follow-up

First has a function to import your contract data that you can export from your contract database. You will automatically receive the start and end date and supplier name. You then select in the tool which categories you are allowed to buy from the supplier and are thus marked in the tool as having made the purchase by agreement. Could it be any easier? First can also use other parameters such as the fact that the purchase is made by agreement. You can choose to follow up on agreements in different ways or a combination of the following:

  • The category is purchased from the correct supplier
  • To add a supplier as on contract regardless of what was purchased from the supplier
  • Add project accounts and then all purchases made with that project number end up as having been purchased on contract

Feel free to combine the above with how it looks from an organizational perspective to see who buys on contract and not on contract. It is now that you can create a change in your purchasing pattern and give good feedback to the organization. Why not report which suppliers a certain unit would not buy from?
